Tie every invoice to the engagement
Put the engagement name, service period, and any agreed reference in the invoice details. If your agreement calls for milestone billing, label the milestone and make sure its deliverable was accepted before issuing that bill.
Where multiple client entities are involved, confirm the legal billing entity and contact. The person who approved the work may not be the entity responsible for paying.

- Address the agreed billing entity, not just your main contact.
Keep the math transparent
Separate fees from approved expenses so the client can check each against the agreement. For time-based work, summarize what the hours covered and check the hours and rate against your records.
For a fixed-fee engagement, a concise description of the contracted phase can be enough. You do not need to put confidential project details in a billing document.
Make approvals less ambiguous
Send the PDF to the address or submission route specified by the client. If their process requires a purchase order, supplier ID, or department code, include it before sending rather than waiting for an invoice rejection.
When a question arises, refer back to the original invoice number and the agreement. Keep any corrected version clearly distinguishable from the first.

Review open work and open balances
Review outstanding invoices alongside your active engagements so a payment question does not surface only at the end of the project. If a payment is partial, log what arrived and continue tracking the balance.
