How to track invoice status
A simple review routine for sent, outstanding, partly paid, and settled invoices.
An invoice is not finished when it leaves your outbox. A useful status workflow tells you what needs action next, but only if you update it from real delivery and payment information.
Define what each state means
Think in clear stages: a draft is still being checked, a sent invoice has gone to the customer, an outstanding invoice has a balance remaining, and a paid invoice has been matched to actual payment. An overdue invoice is outstanding past its agreed due date.
Keep “sent” separate from “paid.” Sending an email does not confirm delivery, approval, or payment.
- Draft: not yet issued.
- Sent or outstanding: issued, with a balance remaining.
- Partly paid: some money received, balance still open.
- Paid: the full amount reconciled to payment records.
Review on a regular schedule
Choose a review rhythm that suits your volume, such as once a week. Sort open invoices by due date, check recent deposits, and identify invoices that need a correction or follow-up.
Aging is a way of grouping outstanding balances by how long they have been unpaid. It highlights older items, but does not explain why they are open; investigate before contacting a customer.
Match money to the right invoice
Use the invoice number, payer, amount, and date to reconcile a deposit. If one payment covers multiple invoices, record which balances it settles. If it only covers part of one invoice, retain the remaining balance.
Do not mark a bill paid simply because the customer says a transfer was initiated. Verify receipt according to your usual records and payment method.
- Check bank or processor records.
- Record partial payments accurately.
- Investigate unmatched or combined deposits.
Treat exceptions as their own work
An invoice under dispute needs a different next step from one that has merely been forgotten. Note what the customer questioned, who owns the response, and whether a corrected invoice is needed.
For old balances, record your follow-up dates and the promised next action. A status label alone cannot capture the whole conversation.
Use reports to spot what needs attention

Reports are a review aid, not a substitute for reconciling payments or keeping appropriate accounting records. Correct the underlying invoice or payment record when the report reveals a discrepancy.
